How to Make Job References Optional or Mandatory

Set your job reference setting before ordering documents.

Written by Airah Oquias

You can choose whether a Job Reference must be entered every time someone in your business account orders a document or certificate in Landchecker. This article shows you how to make Job References mandatory or optional in your business account preferences. Only admins of a business account can access Preferences and change this setting.

What Is a Job Reference?

A Job Reference is your own reference for a document or certificate order in Landchecker, such as a client name, matter number, file number or project code. You enter the Job Reference when you order a document, and it shows on your cart, checkout and order in the Order Manager so you can match each document to your work.

A Job Reference isn't the same as an Order Reference. The Order Reference is assigned by Landchecker to each order and can't be changed, while the Job Reference is yours to set.

What Happens When Job References Are Mandatory or Optional?

The Make job references mandatory setting controls whether a Job Reference must be entered before anyone in your business account can order a document or certificate. Job References are optional by default.

Here's how the setting changes the ordering experience:

  • Optional (checkbox unticked, the default): you can leave the Job Reference field blank. The Add to Cart and Buy Now buttons become active as soon as you tick a document.

  • Mandatory (checkbox ticked): the Job Reference field must be filled in. The Add to Cart and Buy Now buttons stay greyed out until you've ticked a document and entered a Job Reference.

The setting applies to every document and certificate order made through your business account, whether you order from the property's Documents tab on the map or from the Document Searches page.

How to Change the Job Reference Setting

Follow these steps to make Job References mandatory or optional for your business account. You'll need to be an admin of the business account to see the Preferences tab.

  1. Go to your business account settings and choose the Preferences tab. You can also go straight to Preferences.

  2. Find the Make job references mandatory checkbox:

    • Tick it to make Job References mandatory.

    • Untick it to make Job References optional.

  3. Choose Save Changes. A green "Changes saved" message appears in the bottom left corner of the screen.

The new Job Reference setting applies the next time anyone in your business account orders a document or certificate.

How Job References Support Your Work

Choosing whether Job References are mandatory or optional lets you match Landchecker document ordering to how your business tracks its work.

  • Legal professionals and conveyancers: make Job References mandatory so every title or certificate is tied to a matter number for filing and billing.

  • Real estate agents: keep Job References optional if you order the occasional document and don't need to track each one against a listing.

  • Valuers: make Job References mandatory to link each document to the right valuation job.

  • Property developers: use mandatory Job References to group documents by project or site.

  • Architects and town planners: use mandatory Job References to keep documents organised by client or project.
