How to Add, Reply to and Mention Someone in a Comment

Written by Airah Oquias

Add comments to record what you know about a property, ask a colleague a question and keep the answer attached to the site it belongs to. You can add comments to a property in a project, drop a comment anywhere on the map, reply to a colleague’s comment and mention someone by name so they know you need them.

Comments are available to members on any paid plan. Comments were previously called Notes. Everything you’d saved as a note is still there, now shown as a comment.

What Comments Are

A comment is a piece of text you attach to a property in one of your projects, or to a point on the map. Each comment records who wrote it and when, so your team can follow a conversation about a site without moving it into email or chat.

You can add comments to a property saved in a project in two ways:

  • Property comments – attached to a property you’ve saved to a project. You’ll find them in the property’s Comments panel, and the number of comments shows next to that property in the project list.

  • Map comments – placed at a specific point on the map, marked with a pin showing the profile photo of whoever left it. Use these for something that isn’t about one property, like an access point, a neighbouring site or a note about the street.

Both kinds support replies, mentions and basic text formatting, and both are visible to everyone the project is shared with.

Add a Comment to a Property in a Project

To comment on a property you’ve saved to a project:

  1. Open the Projects panel from the left-hand side menu and click the project you want to work in.

  2. Find the property in the project list, click the three dots next to it, then click Add Comments.

  3. The Comments panel opens on the right-hand side of your screen, headed with the property’s address.

  4. Type your comment in the Add comment to property field at the bottom of the panel.

  5. Click the orange arrow to post it.

Your comment appears at the top of the panel with your profile photo, your name and a timestamp. If the property has no comments yet, the panel shows “Add comments to this property” until you post the first one. Once a property has comments, a comment icon and a count appear next to it in the project list, so you can see at a glance which properties your team has been discussing.

You can also open the Comments panel by clicking the property to open the property panel, then choosing the Comments tab.

Add a Comment from the Projects Dashboard

If you’re working from the Projects dashboard rather than the map:

  1. Click your profile icon in the navigation bar and choose Projects.

  2. Click the project name to open the project details page.

  3. To comment on a property, click the comments icon in the properties section, next to the View Report button. To comment on the project as a whole, click the comments icon next to the project name in the top left corner.

  4. Type your comment and post it.

Comments you add from the dashboard and comments you add from the map are the same comments. They appear in both places straight away.

Add a Comment on the Map

The Add Comment and Hide comments icons in the right-hand side toolbar only become active once you’ve opened a project from the Projects panel on the left-hand side. Until you do, both icons stay inactive, because a map comment has to belong to a project. If you can’t click either icon, open a project first.

Map comments let you mark a point rather than a property. To add one:

  1. Open the Projects panel from the left-hand side menu and click the project you want the comment to belong to.

  2. Click the Add Comment icon in the toolbar on the right-hand side of the map.

  3. Move your pointer over the map. A “Click to place comment” prompt follows your cursor.

  4. Click the spot you want to comment on. A comment box opens at that point.

  5. Type your comment and click the orange arrow to post it.

The comment box closes and a pin appears at that spot, showing your profile photo. Click the pin at any time to reopen the comment, and click the close icon on the pop-up to dismiss it again.

Reply to a Comment

Replies keep a conversation together under the comment that started it, rather than spreading it across separate comments.

  1. Open the comment you want to reply to, either by clicking its pin on the map or by opening the property’s Comments panel.

  2. Click Reply.

  3. The Comment view opens on the right-hand side of your screen, showing the original comment and any replies already on it.

  4. Type your reply in the Write a reply field at the bottom and post it.

Your reply appears under a Reply heading with a count of how many replies the comment has, and the pin’s pop-up updates to show the same count, for example Reply (1). Click the back arrow at the top of the panel to return to the full list of comments.

Mention Someone in a Comment

Mentioning a colleague in a comment tells them you need them to look at something.

  1. Start a comment or a reply.

  2. Type **@**, or click the **@** icon in the formatting bar below the field.

  3. Choose the person you want to mention from the list that appears.

  4. Finish your comment and post it.

You can only mention people who are in a project with you. If nobody’s available to mention, you’ll see “No one to mention yet. Invite teammates to your organisation or this project first.” To fix this, invite the person to your organisation, or share the project with them, then add the mention.

Format a Comment

Each comment field has a formatting bar beneath it with bold, italic, underline and strikethrough. Select the text you want to change and click the option you want. Use formatting sparingly, so the part your team needs to act on stands out.

Edit or Delete a Comment

You can change or remove your own comments at any time.

  1. Find the comment in the Comments panel.

  2. Click the three dots in the top right corner of the comment.

  3. Click Edit to change the text, or Delete to remove the comment.

Choosing Edit turns the comment into a text box. Make your change, then click SAVE to keep it or CANCEL to leave the comment as it was. Deleting a comment removes it for everyone the project is shared with, and it can’t be undone.

Hide and Show Comments on the Map

When a project has a lot of comments, the pins can sit over the part of the map you’re trying to look at.

Click the Hide comments icon in the toolbar on the right-hand side of the map to hide every comment pin. The comments aren’t deleted, they’re just out of view. Click the same icon again to bring them back.

How Comments Are Organised

Comments on a property are listed in chronological order with the most recent at the top. Replies sit underneath the comment they belong to, in the order they were posted. Every comment and reply shows the profile photo, name and timestamp of the person who wrote it.

How to Export Comments

You can export comments to Excel from the Projects dashboard. The export includes:

  • All properties in the project.

  • Property data for each entry.

  • The latest three comments for each property.

How Comments Support Your Work

Comments keep the reasoning behind a decision attached to the property it was made about. Here’s how different teams use them.

Real Estate Agents

Log owner conversations, appraisal notes and campaign updates against each property, and mention a colleague when a listing needs follow-up while you’re out of the office.

Property Developers

Record feasibility assumptions, site constraints and acquisition status across a project, and use map comments to mark access points, easements and neighbouring sites you’ll need to deal with.

Valuers

Note why a comparable was included or discounted, so your reasoning is still there when the file’s reviewed months later.

Legal Professionals and Conveyancers

Track what’s outstanding on a matter against the property itself, and mention the person handling the next step so nothing sits waiting.

Architects and Town Planners

Comment on setbacks, overshadowing and streetscape observations at the point on the map they relate to, and keep the design team’s questions in one thread.

Common Questions

What happened to Notes?

Notes are now called Comments. Every note you’d saved is still there and now appears as a comment, so nothing’s been lost in the change.

Where do I add a comment to a property?

Click the three dots next to the property in your project list and choose Add Comments, or open the property panel and go to the Comments tab. Both open the same Comments panel.

Why can’t I mention anyone in a comment?

You can only mention people who share a project with you. If you see “No one to mention yet”, invite the person to your organisation or share the project with them first, then add the mention.

Can I reply to someone else’s comment?

Yes. Click Reply on the comment, then type your reply in the Write a reply field. Your reply appears under the original comment and the reply count updates for everyone in the project.

Can I edit or delete a comment after posting it?

Yes. Click the three dots on the comment and choose Edit or Delete. Deleting removes the comment for everyone in the project and can’t be undone.

How do I get comment pins off the map?

Click the Hide comments icon in the toolbar on the right-hand side of the map. Click it again to show the pins.

Can I export comments?

Yes. Export to Excel from the Projects dashboard. The file includes every property in the project, its property data and the latest three comments for each one.
