Use this article to change the Job Reference on a document or certificate order after the order has already been placed – for example when the reference was mistyped, left blank or needs to match a different matter or project.
Job References are edited in the Order Manager, and editing one is available to account admins on accounts that order documents through Landchecker.
What a Job Reference Is
A Job Reference is your own file, matter, job or project reference, added to a document or certificate order so you can match that order back to the work it belongs to. It's your reference, not one Landchecker generates.
A Job Reference is different to an Order Reference. The Order Reference is the unique identifier Landchecker assigns to an order, and it can't be edited. The Job Reference is yours, and it can be edited at any time after the order is placed.
Job References appear as a column in the Order Manager, and orders can be filtered by Job Reference, so a consistent Job Reference is how you pull up every document ordered against a single matter or site.
Who Can Edit a Job Reference
Only account admins have permission to edit a Job Reference. If you placed an order but don't have admin permission on the account, the pencil icon described in the steps below won't appear for you. Ask an admin on your account to make the change.
Edit the Job Reference on an Order
To change the Job Reference on an order you've already placed:
Log in to Landchecker.
Select your profile in the top right corner of the screen.
Select Business Account if you're part of an organisation, or My Account if you order as an individual member. Order Manager is the first tab.
Find the order you want to edit. Your orders load with the most recent at the top, so use the filters or move to the next page if the order was placed some time ago.
Select View More on that order line to open the Order Item Summary page.
On the Order Item Summary page, select the pencil icon next to the Job Reference.
Enter the new Job Reference and select Submit.
Your new Job Reference is saved automatically and appears against that order in the Order Manager table, where it can then be used to filter your orders.
If You Can't Find the Order
The Order Manager lists every document and certificate order placed on the account, with the most recent first, so an older order can sit several pages back. Rather than paging through, filter the list:
Select the filter button in the top right corner of the Order Manager.
Filter on a column you know, such as Description (the property identifier the order was made against), Ordered By or Date Ordered.
Enter your keywords to narrow the results.

How Editing a Job Reference Supports Your Work
A Job Reference is only useful if it's right, and orders are often placed at speed, before a matter or job number has been confirmed. Being able to correct one after the fact keeps your order history searchable. Here's how that supports common ways different professionals use Landchecker.
Legal Professionals and Conveyancers
A matter number that changes, or a document ordered before the file was opened, leaves orders stranded under the wrong reference. Editing the Job Reference brings every document for that matter back under one filter, which matters when you're reconciling disbursements at settlement.
Property Developers
Feasibility work often means ordering documents across several sites at once, and it's easy to tag an order to the wrong site. Correcting the Job Reference keeps each order matched to the right project when costs are allocated.
Real Estate Agents
Certificates ordered for a vendor statement can be placed before the listing reference exists. Adding the Job Reference afterwards lets you pull up every document for that listing in one filtered view.
Valuers
When several valuation jobs are open at once, a consistent Job Reference on every order is what separates one file's supporting documents from another's in the Order Manager.
Common Questions
Can I edit a Job Reference if I'm not an account admin?
No. Only account admins have permission to edit a Job Reference. Without admin permission the pencil icon doesn't appear on the Order Item Summary page, so ask an admin on your account to make the change.
Where do I find the pencil icon to edit a Job Reference?
On the Order Item Summary page. Select View More on the order line in the Order Manager to open it, and the pencil icon sits next to the Job Reference.
Can I add a Job Reference to an order that was placed without one?
Yes. The same pencil icon on the Order Item Summary page is used to add a Job Reference to an order that was placed with the field left blank.
Do I need to save the change separately?
No. Selecting Submit saves the new Job Reference automatically, and it appears against that order in the Order Manager table.
Can I edit the Order Reference as well?
