Use this article to narrow a long list of document orders down to the ones you need, filter the Order Manager by product, member, job reference, invoice, date or status, sort a column and clear your filters again. The Order Manager filters are available to all members who order documents through Landchecker.
What the Order Manager Filters Do
The Order Manager is the tab in your Landchecker account that lists every document and certificate order placed through the platform, along with its status, the date it was ordered, the estimated delivery date and the invoice it appears on. If you have a Business Account it lists orders placed by everyone in your organisation, so the list grows quickly.
Every column in the Order Manager can be both sorted and filtered. Sorting reorders the whole list by one column. Filtering hides the rows that don’t match your criteria, so only the orders you’re looking for remain in the table. You can search by a partial word, an exact match, an empty field or a date range, depending on the column.

Filter Your Orders in the Order Manager
To filter the orders listed in the Order Manager:
Log in to Landchecker and open the Order Manager.
Select the filter button in the top right corner of the Order Manager.
Select the column you want to filter by, for example Description.
Select a filter type. For text columns, Contains is selected by default, which matches any entry that includes the letters you search for.
Type the word or phrase you want to search for in the Keyword field.
The table updates to show only the orders that match your criteria. If nothing matches, the table is empty rather than showing an error, which means no order on the account meets that criteria.
Which Filter Types Each Column Supports
Not every column offers the same filter types. The table below shows what you can filter by in each of the nine Order Manager columns.

What Each Filter Type Means
The Order Manager offers four filter types across its columns. This glossary explains what each one does and when to use it.
Contains – returns every order where the column includes the text you enter in the Keyword field. Use this when you only remember part of a reference or address. Searching Description for high returns Highett Road and Highbury Grove.
Equals – returns only the orders where the column matches your entry exactly. Use this when you know the full reference and want a single result rather than a list of near matches.
Is Empty – returns every order where the column has no entry at all. Use this to find the gaps in your records, for example which orders were placed without a job reference.
From – To – returns every order that falls inside a date range. This is the only filter type on the two date columns.
Filter Your Orders by Date
The Date Ordered and Est. Date Delivery columns are filtered by a date range rather than by keyword.
Select the filter button in the top right corner of the Order Manager.
Select Date Ordered to filter by when orders were placed, or Est. Date Delivery to filter by when they’re expected back.
Set the From date and the To date.
The table then shows only the orders that fall within that range, including orders placed on the From and To dates themselves.
Filter Your Orders by Status
The Status column doesn’t use a keyword. Instead, you choose one of the three order statuses used in the Order Manager:
Completed – the order has been fulfilled and the document is ready to download.
With Authority – the order is pending and is awaiting fulfilment by the authority responsible for issuing the document.
Error – the order was cancelled because the document couldn’t be retrieved. You aren’t charged for a document that results in an error.
Filtering by With Authority is the quickest way to see everything you’re still waiting on.
Sort a Column in the Order Manager
Sorting works alongside filtering and is useful when you want to see a whole list in order rather than hide part of it.
Open the Order Manager.
Select the header of the column you want to sort by, for example Date Ordered.
Select the header again to reverse the order.
The table reorders by that column and keeps any filters you already have active.
Clear Your Filters and Sorts
Filters and column sorts stay applied until you clear them, so an order that seems to be missing is often being hidden by a filter left over from an earlier search.
Select Reset to clear all filters and column sorts at once. The Order Manager returns to the full list of orders, with the most recent order at the top.
How the Order Manager Filters Support Your Work
A filter turns the Order Manager from a running list of everything the organisation has ordered into a view of the orders that matter to you right now. Here’s how members in different roles use them.
Legal Professionals and Conveyancers
Filter Job Reference by Contains and your matter number to pull up every document ordered against a single file, then filter Status by With Authority to see what’s still outstanding before a settlement date.
Real Estate Agents
Filter Description by Contains and the street name to check every document ordered for a listing, and confirm each one shows a status of Completed before the vendor statement goes out.
Property Developers
When you’re running several sites at once, filter Job Reference by Is Empty to catch orders that were placed without a site reference, then filter Date Ordered by a From – To range to reconcile a month of orders against a feasibility budget.
Valuers
Filter Est. Date Delivery by a From – To range covering this week to see which supporting documents are due back, so you can plan which valuation files can be completed and which are still waiting on the authority.
Finance and Administration
Filter Invoice by Equals and the invoice number to see every order billed on that invoice, or filter Invoice by Is Empty to find orders that haven’t been billed yet on accounts with monthly billing terms.
Common Questions
Where is the filter button in the Order Manager?
It’s in the top right corner of the Order Manager, above the table of orders.
Can I filter the Order Manager by more than one column at a time?
Yes. Filters stay applied until you clear them, so you can narrow a list by one column and then filter another. Select Reset to clear them all at once.
How do I find orders that have no job reference?
Select the filter button, select the Job Reference column and select the Is Empty filter type. The table returns every order placed without a job reference.
What’s the difference between Contains and Equals?
Contains returns any order that includes the text you searched for anywhere in that column, so it’s the better choice when you only remember part of a reference. Equals returns only exact matches.
Why can’t I enter a keyword for the Status column?
Status has a fixed set of three values, so you choose Completed, Error or With Authority instead of typing a keyword.
My order isn’t showing in the Order Manager. What should I check?
Select Reset first, in case a filter or sort from an earlier search is hiding it. If the order still doesn’t appear and it was placed by someone else in your organisation, check that you’re viewing your Business Account rather than My Account.
