How to Search for NSW Sub Folio Titles

Search NSW sub folio inquiry to find all title references for shared properties

When a property has multiple titles with equal shares, these are called Sub Folio Titles. If you search for a property on Landchecker that has multiple titles associated with it, you may see an error message like:

"SUB FOLIOS EXIST - FOR DETAILS SEE SUB FOLIO INQUIRY FOR 49/31355"

What does this error message mean?

This error message means the property you searched has multiple title references (sub folios) instead of a single title. You can view this error message in your Order Manager by clicking View More.

How to find all title references for a property with sub folios

To find all the title references for a property with sub folios, you need to conduct a Sub Folio Inquiry using the base title reference shown in the error message.

Step 1: Run a Sub Folio Inquiry

  1. Navigate to Document Searches in the top navigation bar

  2. Click on the Standard Searches tab

  3. Select NSW as your state

  4. Choose Sub Folio Inquiry from the search options

  5. Enter the base title reference from the error message (for example, "49/31355")

  6. Click Search (this search is free)

  7. Click View to see the results

Step 2: Review the Sub Folio Inquiry results

The Sub Folio Inquiry results show a table listing all related sub folio lots. The table includes:

  • Title Reference - the unique reference number you'll need to order each title

  • Status - whether the title is current or cancelled

  • Share Details - the ownership share for each title

  • First Owner Name - the name of the first registered owner

Step 3: Order the NSW Titles you need

  1. Copy the Title Reference from the "Title" column in the Sub Folio Inquiry results

  2. Go to the Standard Searches tab under Document Searches

  3. Select Title Search as your product

  4. Paste the Title Reference into the search field

  5. Click Add to Cart

  6. Repeat this process for each Title Reference you need

Important: You must include the letter suffix at the end of share titles (for example, "49/40001A" or "49/40001B"). The suffix uniquely identifies each share in a sub folio, so titles will not be found without it.

What information does a Sub Folio Inquiry provide?

A Sub Folio Inquiry provides a complete list of all sub folios (both current and cancelled) for a base title reference. You can use the title references from this list to order copies of individual titles through Landchecker's Standard Searches.
