How to Purchase a NSW Dealing Document

Learn how to order a copy of a Dealing for properties in New South Wales on Landchecker.

A Dealing is a registered document that records transactions or changes affecting a property title in New South Wales. Dealings include mortgages, transfers of ownership, caveats, easements, leases, and other legal instruments registered against a property title.

Dealing documents can be purchased through Landchecker using Standard Searches.

State availability: You can purchase a copy of Dealings for properties in all Australian states and territories, but this article is specific to New South Wales only.


What Is a Dealing?

A Dealing is any document registered with NSW Land Registry Services that affects or changes a property title. Common types of dealings include:

  • Transfers Documents recording the change of property ownership from one party to another.

  • Mortgages Documents recording a mortgage or charge over the property as security for a loan.

  • Caveats Notices lodged to prevent dealings or transactions on a title until certain conditions are met.

  • Easements Documents creating or removing rights to use part of the land for specific purposes.

  • Leases Registered lease agreements for the property.

  • Discharges Documents removing mortgages or other encumbrances from the title.

  • Withdrawals Documents withdrawing previously lodged dealings like caveats.

Each dealing is assigned a unique dealing number when registered with NSW Land Registry Services.


Finding Your Dealing Number

The dealing number is required to order a dealing document and can be found on a NSW title search.

Where to find it:

  • Look in the Second Schedule section on the title search

  • Dealing numbers typically consist of 2 letters followed by 6 digits (e.g., AA987654)

  • Recent dealings appear at the top of the schedule

  • Each dealing shows its type (e.g., Mortgage, Transfer, Caveat) and dealing number

Don't have a title search? You'll need to order a NSW title search first to obtain the dealing number for the document you want to purchase.


How to Purchase a Dealing Document

Once you have the dealing number from your title search, follow these steps.

Step-by-step instructions:

  1. Click Document Searches in the navigation bar

  2. Select the Standard Searches tab

  3. Enter a Job Reference

  4. Choose NSW as your state, then click Next

  5. Click Dealing Search to expand the textbox

  6. Enter the Dealing Number in the text field (format example: AA987654)

    • Include both letters and all digits

    • No spaces between letters and numbers

  7. Click +Add to Cart

  8. If you have multiple Dealings to order, you can enter or paste in a list of dealing numbers separated by a comma.

  9. Click the shopping cart icon in the navigation bar

  10. Select View Cart to review your order, or Purchase for instant checkout

  11. If you selected View Cart, review your order and click Go To Checkout

  12. Review your delivery and payment methods

  13. Click Buy to complete your purchase


Dealing Number Format

NSW dealing numbers follow a specific format that must be entered exactly as shown on the title search.

Standard format: Two letters followed by six digits

Examples:

  • AA987654

  • AB123456

  • AC999888

Important formatting rules:

  • Include both letters (always at the start)

  • Include all six digits

  • No spaces between letters and numbers

  • Enter in uppercase or lowercase (both accepted)


What You'll Receive

Your dealing document will contain the complete registered instrument, which may include:

  • Full details of the transaction or change

  • Parties involved (e.g., mortgagor, mortgagee, transferor, transferee)

  • Property description and title reference

  • Terms and conditions of the dealing

  • Registration date and dealing number

  • Signatures and execution details

  • Any attached plans or schedules

The specific content depends on the type of dealing you've ordered.


Common Use Cases

Property purchase due diligence: Review mortgages, caveats, and other encumbrances affecting the property before purchase.

Conveyancing: Obtain copies of transfers, mortgages, and discharges during the conveyancing process.

Legal proceedings: Review caveats, easements, or other registered instruments for legal matters.

Historical research: Obtain past transfers and dealings to understand property history and ownership changes.

Mortgage verification: Review registered mortgage documents to verify loan details and secured amounts.


Troubleshooting

Can't find the dealing number?

  • Check the Schedule of Registered Dealings (Schedule 2) section on your NSW title search

  • Dealing numbers are shown next to each registered dealing

  • If you don't have a title search, order one first to obtain the dealing number

Invalid dealing number error?

  • Verify you've entered the number exactly as shown on the title (e.g., AA987654)

  • Check for any transposed letters or numbers

  • Ensure you've included both the letters and all digits

  • Confirm you've selected NSW as the state

Dealing no longer exists?

  • Some dealings may have been withdrawn or discharged and are no longer available

  • The dealing may have been superseded by a more recent dealing
