What to Do If You Received the Wrong Document

Immediate Steps

Step 1: Contact Us Immediately

Don’t worry - we’ll ensure you get the correct document or certificate that you ordered.

What to include:

  • Your Details:

    • Account Email the order was placed from

    • Order reference number: [from your email or Order Manager]

  • What you ordered:

    • Property Identifier: [Full address and/or Volume/Folio or other identifier]

    • Document type: [e.g. Title Search, Plan, Sec 105 Land Tax Certificate]

  • What you received:

    • Property Identifier shown on document

    • Attach the incorrect document (PDF)

  • What you need:

    • Explanation of issue with document received

    • The correct property/document details you require


What Happens Next

We will:

  1. Contact the relevant authority to request/download the correct document at no charge.

    • We’ll reorder the correct title/property document

    • If it’s for a Property Certificate, we’ll contact the relevant authority to request the certificate be corrected and reissued

    • Rush processing if urgent

  2. Send you the correct document

    • Usually within a couple of hours. This can take longer if we’re relying on the authority to update the certificate or document information.

  3. Investigate why error occurred

    • Prevent future similar issues


Why This Happens

Understanding the causes:

User selection error:

  • Selected wrong property from search results

  • Clicked adjacent property on map

  • Property or document identifier typo

Issuing authority error:

  • Sometimes the authorities can get it wrong and issue incorrect certificates, or miss out vital information or attachments within certificates.

  • If the correct property identification information is not included in the application, this can cause certificates with incorrect information to be issued - for example, the wrong Lot or Unit number.

System error:

  • Rare but possible

  • We take these very seriously

  • Always investigated and fixed


How to Prevent This

Before ordering, verify:

Check property details are correct

  • Property parcel highlighted correctly on map?

  • Right street, right number?

  • Does lot/plan match your records?

  • Check against contract/title

  • Have I included the Unit Number?

    • Including the correct Unit Number is essential when ordering VIC Property Certificates, such as Land Information Certificates, Land Tax Certificates, and Water Information Statements. If the property details are incorrect or incomplete, the returned documents may not match the correct property.

    • If the Unit Number is missing or appears incorrectly in the Address, you can edit it before submitting your order. Make sure all details are correct before the order is sent to the relevant authorities for processing.
